About the Client

Our client is a diversified company involved in real estate development and medical practice management.

About the Role:

As the client's operations expand, they are seeking a proactive, detail-oriented, and reliable Virtual Assistant who can support key administrative functions particularly bookkeeping, scheduling, and property management coordination to help streamline daily workflows and support long-term business growth.

Key Responsibilities

Bookkeeping & Financial Admin
  • Maintain accurate and up-to-date financial records
  • Collaborate with external CPA to prepare monthly and quarterly financial summaries
  • Assist with invoice tracking, payment reminders, and expense categorization
  • Use tools like QuickBooks Online for day-to-day bookkeeping
  • Prepare financial documentation for tax filings and audits

Property Management Support
  • Coordinate maintenance requests between tenants and vendors
  • Manage communication and scheduling with tenants, especially for 20+ units (including residential buildings and homes)
  • Maintain and update property management CRM systems
  • Track rental payments, lease expirations, and other critical timelines

Executive Assistance
  • Manage calendar scheduling across multiple business ventures (real estate + medical practices)
  • Organize and coordinate virtual meetings
  • Perform research and data entry as needed
  • Handle general administrative tasks to relieve the CEO of operational burden (NB)

Qualifications & Skills

  • Minimum 5 years experience working remotely for U.S.-based companies
  • Proven bookkeeping / accounting experience (ideally supporting real estate or medical businesses)
  • Proficient in QuickBooks Online
  • Strong written and verbal English communication skills
    Reliable internet connection (Fiber/cable preferred) with backup power options
  • Demonstrated discretion and trustworthiness, especially when handling sensitive financial data
  • Experience or familiarity with property management tools and processes is a strong plus
  • College degree in Accounting, Finance, Business, or related field preferred
