Chief of Staff

based in the Philippines to serve as the CEO's "second eye" across all departments and a strategic engine for scaling our practice.

The Role This is a high-level "force multiplier" role, working virtually to support our U.S. operations. You are not an executive assistant; you are a strategic extension of the CEO. You will manage the CEO's executive communication, monitor departmental performance, and architect the workflows that allow the firm to scale. You must be a fast learner who can master new technologies-especially AI and automation-overnight and apply them to solve business bottlenecks.

The ideal candidate is highly organized, business-minded, and tech-savvy, with the ability to operate at both strategic and tactical levels while coordinating across departments.

Key Responsibilities
  • Project Management & Implementation:

Lead and assist in various business projects. You are responsible for monitoring progress and "pushing" implementation to ensure every initiative happens on time and meets quality standards across different time zones.
- Operational Architecture:

Map out, implement, and optimize firm-wide workflows. Set up sophisticated software integrations and automation systems (specifically within

Salesforce

) to eliminate manual tasks and scale business capacity.
- Performance Monitoring:

Act as a "second eye" for every department. Utilize tools like

to track KPIs, monitor overall firm performance, and identify friction points before they become problems.
- Executive Proxy & Communication:

Monitor, read, and respond to the CEO's emails. Attend high-level meetings alongside the CEO or represent her in her absence. Provide detailed briefings, bring critical issues to her attention, and delegate action items to the appropriate teams while maintaining rigorous follow-up to ensure 100% completion. Act as a primary filter and voice, ensuring zero-latency in communication while maintaining first-class professional standards.
- Financial & Analytical Oversight:

Understand basic business accounting to assist with financial health monitoring. Create high-level executive reports as requested by the CEO and for general business needs, providing the data-driven clarity required for strategic decision-making.
- AI & Tech Integration:

Lead the firm's "Deep Adaptation" to AI. Research, implement, and train the team on AI tools and emerging technologies to maintain our competitive edge.
- Strategic Alignment:

Partner with the CEO to translate vision into actionable projects and ensure all departments are aligned with the firm's growth trajectory.

Required Qualifications & Skills
  • Experience:

5+ years of experience in operations, project management, executive support, or Chief of Staff-type roles. Proven experience supporting senior leadership or C-level executives.
- Education:

Bachelor's degree required;

MBA degree is a significant plus.
- Technical Depth:

Advanced proficiency in

Understanding of basic business accounting principles and the mechanics of scaling a professional services firm.
- Attributes:

Proactive, self-directed, and comfortable making decisions with incomplete information. High level of professionalism, discretion, and sound judgment.
