The Accounts Payable Supervisor oversees the end-to-end accounts payable process, ensuring all company disbursements are accurate, timely, and compliant with financial policies and tax regulations. This role manages the team responsible for processing payments to transportation providers, vendors, warehouse services, fuel suppliers, and other business partners. The Supervisor ensures effective internal controls, smooth payment operations, and strong vendor relationships that support the company's overall financial efficiency.

Duties and Responsibilities:

  • Supervise and monitor daily accounts payable operations to ensure accuracy, timeliness, and compliance with company policies and government regulations.
  • Review, verify, and approve invoices, expense reports, and payment requests prior to processing.
  • Oversee employee reimbursements, liquidations, and payment requests to ensure smooth cash flow and prevent operational delays.
  • Ensure timely payments to suppliers while optimizing opportunities for early payment discounts and maintaining good vendor relationships.
  • Review and reconcile vendor statements, resolve discrepancies, and address payment issues promptly.
  • Maintain and regularly update vendor master data within the ERP system.
  • Coordinate with Procurement, Warehouse, and Operations teams to validate invoices and ensure proper documentation.
  • Prepare and review accounts payable reports, schedules, and accruals for month-end and year-end closings.
  • Ensure full compliance with applicable tax laws (e.g., VAT, EWT) and internal accounting controls.
  • Support internal and external audits by providing accurate and timely documentation.
  • Train, mentor, and evaluate accounts payable staff to maintain a high-performing team.
  • Perform other related tasks as may be assigned by the Finance Head or Management.

Qualifications, Skills, and Competencies:

  • Bachelor's degree in Accounting, Finance, or Business Administration.
  • Minimum of 3–5 years of progressive experience in accounts payable or general accounting, with at least 1–2 years in a supervisory or lead role (preferably in logistics, transportation, or related industry).
  • Proficient in ERP/accounting systems (e.g., QuickBooks Online or equivalent).
  • Strong knowledge of accounts payable principles, workflow, and tax compliance (VAT, EWT).
  • Excellent attention to detail, analytical thinking, and numerical accuracy.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Proficiency in Microsoft Excel and WPS Office applications.
  • Demonstrated ability to lead, motivate, and develop a team.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to work under pressure and meet strict deadlines.

Organizational Relationships:

Reports directly to the Finance & Tax Compliance Supervisor (FTCS) and Certified Public Accountant (CPA), and collaborates with all departments, vendors, and external partners on matters concerning payables and financial compliance.
