Remote Administrative Assistant

We are seeking a skilled professional to join our team as an Executive Assistant / Bookkeeper. The ideal candidate will have excellent organizational and communication skills, with the ability to manage QuickBooks for bookkeeping and payroll coordination.
This is a critical role within our organization, requiring strong written and verbal English communication skills, and the ability to work independently and proactively.
Key Responsibilities:- Manage QuickBooks for bookkeeping and invoicing
- Process timecards and pull reports
- Assist with job costing, contract tracking, and ordering materials
- Manage emails, schedules, contracts, and administrative tasks
- Support the business owner by prioritizing tasks and deadlines
- Communicate with vendors and handle sensitive information discreetly
- Work in a 100% remote setup with flexibility based on client needs

- Minimum 3 years of experience in bookkeeping and/or executive assistant roles
- Proficiency with QuickBooks (bookkeeping, invoicing)
- Strong written and verbal English communication skills
- Comfortable working full-time (45 hours/week) in a Pacific Time zone
- High attention to detail and strong follow-through
- Ability to work independently and proactively
- Experience in small business or contractor/trade environments preferred
- Familiarity with email platforms, timecard processing, and contract management
- Strong organizational and multitasking skills
- Must maintain confidentiality and handle business operations professionally
