Job Title: Business Operations Specialist

We are seeking a highly organized and detail-oriented Business Operations Specialist to join our team.

The ideal candidate will have strong experience with construction or trades industry administrative processes, proficiency in accounting software (Xero experience preferred), and excellent written and verbal communication skills.

  • This role plays a crucial part in ensuring the smooth operation of our business by managing all client communications, responding within 24 hours and proactively following up on opportunities.
  • You will coordinate between office, field teams, and subcontractors to ensure clear communication channels and updated job requirements.
  • Handle comprehensive administrative tasks, including data entry, invoice processing, and maintaining organized job documentation.
  • Oversee compliance management, ensuring build passes, WHS documentation, and job documents are properly maintained.
  • Utilize and optimize software systems for maximum efficiency and quality control processes.
  • Chase up employee tasks, deliverables, and site reporting to improve team accountability and performance.
  • Assist with quoting and tendering processes, including supplier price checking and quote comparisons.

Main Responsibilities:

Client Communication: Manage all client communications, respond within 24 hours and proactively follow up on opportunities.

Team Collaboration: Coordinate between office, field teams, and subcontractors to ensure clear communication channels and updated job requirements.

Administrative Tasks: Handle comprehensive administrative tasks, including data entry, invoice processing, and maintaining organized job documentation.

Compliance Management: Oversee compliance management, ensuring build passes, WHS documentation, and job documents are properly maintained.

Software Optimization: Utilize and optimize software systems for maximum efficiency and quality control processes.

Performance Improvement: Chase up employee tasks, deliverables, and site reporting to improve team accountability and performance.

Tendering Process: Assist with quoting and tendering processes, including supplier price checking and quote comparisons.
