Job Summary

The Intake Coordinator plays a vital role in interacting with multiple stakeholders, including employees, clinical sales specialists, management team leaders, physicians, nurses, office staff, case managers, and pharmacists. This position requires coordination of care for incoming patients under the direction of the Pharmacy Supervisor or Intake Team Lead.

This employee contributes significantly to customer satisfaction, vendor relations, and business partnerships.

Key Responsibilities
  • Receives referrals from Pharmacists after review, including insurance information, statements of medical necessity, prescriptions, and clinical documentation necessary for authorization.
  • Assists in obtaining required information for processing under the supervision of the Pharmacy Supervisor or Intake Team Lead, utilizing the Docutrack system for tracking and monitoring.
  • Enters patient information into Premier View for new starts received in designated territories.
  • Assists with incoming referrals for other territories as needed.
  • Tracks follow-up requests on the Request log as necessary.
  • Consults with clinical staff regarding clinical reviews and contacts physician offices as directed, requesting prescriptions when needed for referral processing.
  • Closely monitors formulary status of incoming referrals and assists with initial follow-up according to insurance plan requirements.
  • Monitors new start referrals for completeness and insurance/formulary coverage patterns and trends.
  • If delays occur beyond 72 hours, the Intake Coordinator informs family members of the status.
  • Upon data entry completion, forwards information to case managers for processing.
  • Consistently updates system notes and logs to reflect current patient status.
  • Inactivates files and notifies parties if unable to service based on current coverage or contracting limitations.
  • Communicates referral status with Sales/Clinical staff and Case Managers.
  • Initial contact made with DME patients.
Requirements
  • Strong verbal and written communication skills are essential.
  • Must be knowledgeable in basic office operations and capable of performing multiple tasks simultaneously.
  • Must work under pressure, prioritize tasks during high workloads, and represent the organization professionally.
  • Must maintain HIPAA compliance according to company policies and understand obligations under the Privacy Rule.
  • Able to perform duties without posing a direct threat to self or others' health and safety.
