About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Hilton Manila Hotel.

Responsibilities:
  • Greet and welcome guests as they arrive at the office, ensuring a positive first impression of our hotel.
  • Direct visitors to the appropriate person or department, demonstrating excellent communication skills.
  • Answer, screen, and forward incoming phone calls in a timely and professional manner.
  • Maintain the reception area, ensuring it is tidy and presentable with all necessary stationery and materials.
  • Provide accurate and helpful information to guests and colleagues via phone, email, or in-person.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Order front office supplies and manage inventory levels.
  • Update calendars and schedule meetings for colleagues and management.
  • Arrange travel and accommodations, prepare vouchers, and keep track of expenses.
  • Perform other clerical duties such as filing, photocopying, transcribing, and faxing.
Requirements and Skills:
  • Proven experience in a similar role, with a strong background in administration and customer service.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Hands-on experience with office equipment, such as fax machines and printers.
  • Professional attitude and appearance, with excellent written and verbal communication skills.
  • Able to work independently and as part of a team, with a proactive approach to problem-solving.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Customer-focused mindset, with a passion for delivering exceptional service.
