Your Role

As a key member of our team, you will be responsible for ensuring seamless day-to-day operations for a select client.

  • Manage the CEO's inbox and task list, guaranteeing timely follow-ups and clear priorities.
  • Schedule meetings, coordinate calls, and facilitate effective business communication.
  • Shift invoicing to QuickBooks and oversee sending, tracking, and collecting payments.
  • Maintain essential client documents like W9s and COIs, ensuring accuracy and compliance.
  • Develop and document standard operating procedures to enhance operational efficiency.
  • Assist in setting up tools and systems to streamline workflow processes.
  • Support bid tracking and internal organization for future growth opportunities.
Requirements
  • Minimum 5 years of experience in an executive assistant role.
  • Highly detail-oriented and focused on clarity, structure, and follow-through.
  • Proactive and anticipatory, meeting needs before they arise.
  • Proficient in using tools like QuickBooks, Google Workspace, Slack, and Zoom.
  • Communicate clearly and professionally, both in writing and over the phone.
  • Able to adapt to shifting priorities and work independently with minimal supervision.
  • Experience supporting small U.S.-based businesses, ideally in construction or trades, is highly valued.
  • Bonus points if you've worked with entrepreneurs or supported civil/construction projects.
