
Operational Support Specialist

We are seeking a highly skilled Operational Support Specialist to join our team. As an integral part of our operations, you will be responsible for managing administrative tasks, financial operations, and research coordination.
Key Responsibilities:
- Manage documents, trackers, and operational workflows to ensure seamless execution of daily tasks.
- Oversee and audit time tracking records for contractors and external staff to maintain accuracy and efficiency.
- Prepare and send client contracts using established templates to streamline the contracting process.
- Track key deadlines and ensure critical actions are followed up on to prevent delays.
- Own and manage the invoicing process to ensure all hours are invoiced correctly and on time.
- Assist in processing salary and contractor payments while maintaining organized records.
- Support with finance-related administrative tasks, including receipts, documentation, reconciliations, and ad-hoc projects.
- Proactively identify and resolve payment discrepancies or red flags to minimize disruptions.
- Research relevant awards, events, and partnerships, and apply to them as needed to drive business growth.
- Support with market research, executive reporting, and other ad-hoc projects as required.
- Help manage calendars, reminders, and weekly execution checklists to ensure timely completion of tasks.
Required Skills and Qualifications
To succeed in this role, you will need:
- Bachelor's degree or higher in Finance, Accounting, Business, or a related field.
- Proven experience in administrative, financial operations, or operational support roles.
- Strong analytical and organizational skills to identify and solve problems efficiently.
- Experience handling complex invoicing operations to ensure accuracy and compliance.
- Ability to work independently and take initiative without waiting for full instructions.
- Thrives in fast-paced environments with shifting priorities and tight deadlines.
- Attention to detail to ensure flawless execution and minimal errors.
- Professional communication skills, both written and verbal, to effectively collaborate with stakeholders.
