Job Title: Remote Project Coordinator

This role requires a highly organized and self-motivated individual to provide exceptional customer service support to clients and staff. The ideal candidate will assist the Service Manager in guiding the Service Technician Team to understand their daily schedules, performance goals, and expectations.

Key Responsibilities:
  • Maintain professionalism with clients and staff by being courteous and respectful at all times.
  • Provide top-notch customer service while establishing a positive rapport with clients through active listening and effective communication.
  • Respond promptly and efficiently to all service calls, addressing client concerns in a timely manner.
  • Contribute as a team member to mitigate problems and issues that may arise during service operations.
  • Transcribe information into required electronic format for seamless data management.
  • Prepare, backup, compile, update, and sort document data files into a prescribed computer database for efficient record-keeping.
  • Ensure compliance with data integrity and security policies to safeguard sensitive client information.
  • Collaborate with the Service Manager to resolve emergencies in a timely and professional manner.
  • Oversee scheduling of service teams and make recommendations to the Service Manager for department needs based on operational efficiency.
  • Provide weekly progress updates to the Service Manager and client point of contact to ensure transparency and accountability.
  • Obtain quotes from qualified subcontractors as necessary to ensure best value for clients.
  • Participate in project kick-off meetings that include key participants from sales, engineering, fabrication, installation, and programming departments when needed to ensure project success.
  • Attend regular internal virtual CoitCom meetings to stay informed and contribute to team discussions.
  • Verify completed work for accuracy to maintain high-quality service standards.
  • Pursue opportunities to improve department efficiency, reduce costs, and enhance product quality through customer feedback and insights.
  • Track and report accurate project status/milestones to the Service Manager and/or client point of contact to ensure timely completion.
  • Engage in prescribed training curriculum as needed to develop new skills and stay updated on industry best practices.
  • Deliver or schedule product/system trainings for CoitCom Service Team members to ensure knowledge sharing and consistency.
  • Demonstrate proactive responsibility for self-directed development and participate in prescribed training curriculum to enhance professional growth.
