Job Overview

We are seeking a highly organized and skilled Virtual Assistant to join our team. This role will be responsible for providing administrative support, ensuring the smooth operation of our organization.

Main Responsibilities
  • Document Management: Effectively store and organize documents and files with accuracy and efficiency.
  • Data Entry: Prepare lead lists, meeting minutes, transcribe audio recordings, prepare payroll information, and organize research notes with precision.
  • Research and Procurement: Conduct thorough research on products, purchase goods as required, and secure samples efficiently.
  • Campaign Support: Store, update, and collect information for marketing and sales campaigns through a CRM system.
  • Communication: Create and send statements or invoices, track payments, and record company expenses accurately.
  • Reporting and Analysis: Gather data on trends, industry best practices, and other publicly available information, and prepare reports on the findings.
  • Project Monitoring: Monitor projects, conduct internal communication, and organize company data effectively.
  • Scheduling: Coordinate team calendars, prevent scheduling conflicts, and ensure clients are on time and prepared for meetings.
  • Travel Arrangements: Prepare itineraries, book hotels, rental cars, etc.
  • Customer Service: Convey information to incoming calls, make calls for appointments, or conduct informational inquiries.
  • Email Management: Reply to emails, follow up on correspondence, organize inbox as per client preferences, and notify clients about important emails.
  • Ad Hoc Tasks: Perform any other tasks assigned by management.
Required Qualifications
  • Experience: At least 6 months to 1 year of experience as a Virtual Assistant.
  • Education: At least 18 years of age and completed Senior High School.
  • Skills: Excellent phone, email, and instant messaging communication skills; solid organizational and time management skills; able to work on a graveyard shift; tech-savvy with current technologies like desktop sharing, cloud services, and VoIP; experience with word-processing software and spreadsheets (e.g., MS Office); knowledge of online calendars and scheduling (e.g., Google Calendar).
  • Attitude: Proactive attitude and willingness to be trained.
