We are seeking a highly detail-oriented and proactive Accounts Payable Specialist to support our finance operations. This remote role is perfect for a self-starter with strong financial management skills, QuickBooks expertise, and a solid understanding of month-end close processes.

Key Responsibilities:

  • Process invoices in a timely manner, ensuring accurate coding, approval, and entry.
  • Record and manage bills in QuickBooks Online, maintaining accurate vendor records and payment schedules.
  • Assist with expense management platforms, tracking transactions and managing approvals.
  • Perform accrual processing, ensuring all AP transactions are properly recorded and reported.
  • Maintain a large vendor database, ensuring collection and organization of W-9 forms, and supporting monthly and quarterly tax compliance.
  • Respond to vendor inquiries, ensuring compliance with state-specific requirements and providing accurate documentation.
  • Use Excel to generate reports, summaries, and reconciliations as requested, and assist in data validation and cleanup for financial and audit purposes.

Qualifications:

  • Strong experience with QuickBooks Online and proficiency in Microsoft Excel.
  • Solid understanding of Accounts Payable, month-end closing, and accrual accounting, including U.S. tax compliance and W-9 handling.
  • Highly detail-oriented, organized, and capable of working independently, with excellent written and verbal communication skills.

Nice to Have:

  • Experience with expense management platforms and prior experience handling AP and compliance across multiple U.S. states.
  • Background in working with small to midsize companies in a remote setup.
