
Business Operations Coordinator

The Investment Support Officer is responsible for maintaining client portfolios in various systems and preparing accurate quarterly reporting. This role will report to a Team Leader or Service Delivery Manager and interact directly with client managers and stakeholders.
As a key member of our team, you will be responsible for ensuring that all tasks are completed to the highest standard, meeting quality guidelines and adhering to strict deadlines.
Proactive issue management is crucial in this role, as you will need to identify potential challenges and opportunities for improvement, and work closely with clients and hammerjack support team members to resolve any issues that may arise.
Key Responsibilities:- Proactive Issues Management
- Liaise with clients and hammerjack support team members to resolve challenges, findings, and suggestions
- Note and track issues, raising potential opportunities and risks
- Manage customer expectations on service disruptions or delivery delays
- Reporting
- Provide regular reporting on activities to stakeholders
- Raise emerging issues, concerns, or areas of opportunity affecting customers' experience and/or process efficiency
- Work with the data team to ensure accurate and timely loading of relevant data for quarterly reports
- Prepare, reconcile, and review attribution, fund characteristics, asset allocation reporting, and responsibility for accuracy
- Account Management
- Maintain a high level of quality and efficiency on all tasks managed
- Create and maintain client portfolios in the portfolio administration system
- Minimum weekly monitoring and maintenance of managed accounts shadow weights spreadsheet for in-house Portfolios
- Represent hammerjack and client brands in a professional manner
- Ad Hoc Tasks
- Perform tasks deemed necessary to ensure excellent customer experience as determined by management
- Product Knowledge
- Familiarity with MS Excel and other MS Office applications
- Ability to ensure task details are attended to and achieved according to quality standards
- Ability to learn new systems and tools as needed

- Able to understand customer needs, expectations, and satisfaction levels
- Able to maintain good relationships with stakeholders
