Job Description

As a seasoned professional, you will provide exceptional administrative support to the CEO and help drive business growth by streamlining operations, improving workflow efficiency, and ensuring timely follow-ups. Your role will be pivotal in supporting the CEO's tasks, managing the inbox, and coordinating business communication.

Your responsibilities will include:

  • Managing the CEO's task list and ensuring timely follow-ups
  • Scheduling meetings, coordinating calls, and assisting with business communication
  • Shifting invoicing to QuickBooks and handling sending, tracking, and collecting payments
  • Preparing and maintaining essential client documents like W9s and COIs
  • Helping create and document standard operating procedures for smoother operations
  • Assisting in setting up tools and systems to improve workflow efficiency
  • Supporting bid tracking and internal organization for future growth opportunities

Key to your success will be your ability to thrive in a fast-paced environment, communicate clearly and professionally, and manage shifting priorities while working independently with minimal supervision.

Requirements

To excel in this role, you will need to possess:

  • 5+ years of experience in an operational and executive assistant role
  • A high degree of detail-orientedness and ability to thrive on clarity, structure, and follow-through
  • The ability to take initiative, anticipate needs before being asked, and proactively solve problems
  • Technical savvy with tools like QuickBooks, Google Workspace, Slack, and Zoom
  • Excellent communication skills, both in writing and over the phone
  • The ability to manage shifting priorities, work independently, and adapt to changing circumstances
