Job Opportunity

We are seeking an experienced professional to join our team as a Marketing Support Specialist. This role requires excellent communication and organizational skills, with the ability to work independently and manage multiple priorities.

Responsibilities:

  • Administrative Support:
    • Manage calendars, schedule meetings, and resolve conflicts.
    • Maintain databases, including press lists and vendor information.
    • Oversee computer and equipment maintenance, procurement, and management.
    • Coordinate office supplies and arrangements for travel and accommodations.
  • Client & Business Development Support:
    • Triage and respond to inbound inquiries from potential clients.
    • Maintain CRM systems and ensure accurate daily updates.
    • Assist in organizing business development activities.
  • Communications & Marketing Support:
    • Support the creation and publication of website and social media content.
    • Manage online entries for awards and recognition programs.
    • Research contacts for journalists and events.
    • Assist founders in managing the content calendar for social media.
  • HR & Finance Support:
    • Maintain payroll systems, including employee onboarding and offboarding.
    • Process accounts payable and receivable.
    • Perform weekly bookkeeping reconciliations.

Requirements:

  • 4+ years of experience in executive assistance, communications, or marketing.
  • Ability to work on Eastern Standard Time (EST).
  • Strong organizational and time-management skills.
  • Highly motivated, resourceful, and proactive problem-solving skills.
  • Proficient in Google Workspace, Excel, and Microsoft Word.
