Executive Support Specialist

As a highly skilled and experienced Executive Support Specialist, you will provide high-level administrative support to senior executives, focusing on document management, communication, and operational efficiency.

Key Responsibilities:

  • Organize and manage calendars, emails, and documents for senior executives.
  • Coordinate travel arrangements, meeting bookings, and task lists.
  • Manage deadlines, send reminders, and ensure seamless project execution.
  • Develop and implement document management systems using SharePoint.
  • Maintain digital filing systems for quick, secure, and easy access to information.
  • Serve as a professional point of contact, communicating clearly with internal staff and external clients or contractors.
  • Make and receive phone calls on behalf of the CEO.
  • Draft and respond to correspondence in both English and French.
  • Collaborate with staff and third parties to ensure successful project outcomes.
  • Track open items, follow up on pending issues, and provide regular status updates.
  • Utilize Microsoft Office Suite (Outlook, Teams, SharePoint) and adapt quickly to new tools or processes.

Requirements:

  • Minimum 2 years experience as an Executive Assistant or in a similar high-level administrative role.
  • Fluency in both English and French (written and spoken).
  • Proven experience managing calendars, emails, and documents for senior executives.
  • Strong proficiency with Microsoft Office Suite (Outlook, Teams, SharePoint).
  • Comfortable and professional handling phone communications.

Working Conditions:

  • Remote position.
  • Must have a reliable internet connection and a quiet workspace.
  • Required to provide own computer with Intel Core i5 or higher operating system.

Work Schedule:

  • Monday to Friday, 8am to 4pm Atlantic time/New Brunswick CA.
  • Occasional weekend availability for urgent matters.
  • 40 hours per week.

Compensation:

  • $7.00 per hour.
  • No benefits package included.
