Job Title: Virtual Assistant

We are seeking a highly organized and detail-oriented Virtual Assistant to provide comprehensive administrative support to our client.

The ideal candidate will have excellent multitasking skills, be proactive, and able to work efficiently in a fast-paced environment.

Key Responsibilities:
  • Email Management: Manage and organize emails, including database mining and sending nurturing emails.
  • Scheduling: Schedule and coordinate meetings, appointments, and travel arrangements.
  • Document Management: Prepare and organize documents such as reports, memos, and other office files.
  • Research: Conduct resume sourcing and mining, add new customer records to databases, and suggest local networking or other groups.
  • Social Media: Responsible for content creation, scheduling, posting, audience engagement, and tracking.
  • Customer Relationship Management: Provide client support by managing inquiries and feedback and resolving issues in a timely fashion.
  • Administrative Support: Provide administrative assistance, including basic accounting tasks and preparing contracts.
  • Special Projects/Project Management: Assist in the preparation of regularly scheduled reports and coordinating projects.
Requirements:
  • Bachelor's degree preferred, but not required; high school diploma required.
  • Experience as a virtual assistant or remote assistant role.
  • At least one year of experience in lead generation and/or appointment setting for international clients.
  • Ability to qualify and prioritize leads effectively.
  • Strong computer aptitude, which includes experience with Microsoft 365, G-Suite, Canva, Zoom, Dropbox, Asana, Calendly, Doodle, Skype, Slack, Trello, Adobe Acrobat, LastPass, LinkedIn, CRM experience, experience with AI and automation tools.
  • Strong organization, oral and written communication skills.
  • Analytical skills with particular attention to detail.
  • Aptitude in data management, analytics, and reporting preparation.
  • Ability to function in an autonomous environment—independent worker, self-directed.
  • Highly flexible and adaptable, with proven ability to report and collaborate effectively with multiple coaches.
