A dynamic and highly skilled professional is sought after to fill the role of Executive Support Specialist. The ideal candidate will provide top-notch administrative support to senior leadership, ensuring seamless day-to-day operations.
Key Responsibilities:- Manage complex schedules, coordinate appointments, and maintain organized digital calendars
- Handle email correspondence, prioritize messages, and draft responses on behalf of senior leaders
- Prepare, organize, and distribute high-quality documents, presentations, and reports using advanced software tools
- Conduct in-depth research, provide concise summaries, and support data-driven decision-making
- Coordinate virtual meetings, including preparing agendas, taking detailed notes, and following up on action items
- Maintain secure and organized digital files, ensuring timely retrieval of information
- Serve as a liaison between senior leadership and internal/external stakeholders
- Assist with personal administrative tasks as needed
- Bachelor's degree in a related field or equivalent experience preferred
- Previous experience as an executive assistant, virtual assistant, or in a similar role supporting senior leadership
- Background in supporting C-level executives preferred
- Excellent written and verbal communication skills with the ability to draft professional emails and documents
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint)
- Tech-savvy and comfortable learning new tools and software as required
- Familiarity with project management tools (e.g., Asana, Jira, or similar) preferred
- Experience working with remote teams and across time zones preferred
- Strong organizational skills and attention to detail
- Ability to multitask, prioritize effectively, and meet deadlines in a fast-paced environment
- High level of discretion and ability to handle sensitive information with confidentiality
