Medical Records Specialist

This is a critical position in our medical records retrieval process. You will play a key role in ensuring that every intake request is accurate, complete, and optimized for success downstream.
Your attention to detail directly impacts the speed and quality of records collection for our clients. If you thrive in a fast-paced, detail-oriented environment where precision and problem-solving matter, this role is for you.
- As a Medical Records Specialist, you will identify all relevant providers associated with a client's treatment, not just the main facility submitted by the client.
- You will locate billing providers and related entities using tools such as Chartswap, prior requests, and direct provider calls.
- Then, you will add all identified providers to the request in the admin app.
The ideal candidate will have prior experience requesting medical records from providers on behalf of clients. They must also possess strong attention to detail, proficiency with Adobe and PDF editing/combining tools, and excellent written and verbal communication skills.
We are seeking a proactive problem-solver who can manage multiple requests simultaneously. Experience in U.S.-based legal or healthcare settings is a plus, but not required. Spanish-speaking proficiency is also a desirable skill.
Key Responsibilities:- Provider Research & Identification: Identify all relevant providers associated with a client's treatment, locate billing providers and related entities, and add them to the request in the admin app.
- Request Creation & Quality Control: Review and correct incoming ROIs, prepare accurate base forms, generate complete submission packets, and conduct a thorough QA review of each ROI packet.
- Request Assignment & Escalation: Assign requests to the appropriate records team member based on workload and utilization, identify and escalate special provider requirements or edge cases, and coordinate with clients' case managers to resolve missing or conflicting information.
