Transaction Coordinator/Assistant

We are seeking a detail-oriented and highly organized professional to support our agent/broker in managing transactions, ensuring compliance, and providing top-notch customer service to clients. The ideal candidate is proactive, tech-savvy, and has experience in real estate transaction coordination.

The Transaction Coordinator/Assistant will manage real estate transactions from contract to closing, ensuring all deadlines and requirements are met. This includes preparing, reviewing, and submitting real estate contracts, disclosures, and agreements, as well as coordinating with buyers, sellers, title companies, lenders, inspectors, and other stakeholders.

The successful candidate will have strong attention to detail, organization, and time management skills, as well as excellent communication and customer service abilities. They will be able to work independently, prioritize tasks, and meet deadlines. Familiarity with real estate marketing tools and social media is a plus.

Responsibilities:
  • Manage real estate transactions from contract to closing
  • Prepare, review, and submit real estate contracts, disclosures, and agreements
  • Coordinate with buyers, sellers, title companies, lenders, inspectors, and other stakeholders
  • Track key deadlines and ensure all necessary paperwork is completed on time
  • Schedule inspections, appraisals, and closings while keeping all parties informed
  • Maintain accurate transaction records in CRM and transaction management software
  • Ensure compliance with real estate laws, brokerage policies, and contract requirements
Qualifications:
  • Experience in real estate transaction coordination, administrative support, or assistant roles
  • Knowledge of real estate contracts, escrow, title processes, and compliance requirements
  • Proficiency in MLS, CRM systems, DocuSign, Dotloop, Skyslope, Google Workspace, and Microsoft Office
  • Strong attention to detail, organization, and time management skills
  • Excellent communication and customer service abilities
