Executive Support Role

The Executive Partner position requires a seasoned professional to provide high-level, confidential administrative support to senior executives. This role entails exercising discretion, handling complex responsibilities, and serving as a liaison between the executive team and internal/external stakeholders.

Key Responsibilities:
  • Calendar Management: Proactively manage calendars, scheduling meetings, appointments, and travel arrangements for senior executives.
  • Executive Correspondence: Draft, review, and manage executive correspondence, presentations, and reports with a high degree of professionalism and confidentiality.
  • Liaison and Communication: Serve as the point of contact between executives and internal/external clients, stakeholders, and employees.
  • Event Coordination: Coordinate and prepare materials for board meetings, executive meetings, and other high-level events.
  • Project Management: Monitor and manage executive-level projects, including tracking deadlines and follow-ups on deliverables.
  • Filing Systems: Maintain efficient filing systems and document management (physical and digital).
  • Research and Briefing: Conduct research and prepare briefing documents, meeting agendas, and talking points for key engagements.
  • Confidentiality: Handle confidential and sensitive information with discretion and integrity.
  • Support and Development: Support budgeting and expense reporting processes using internal systems and tools, while mentoring junior administrative staff or collaborating with other executive assistants across the organization.
Qualifications:
  • Education: Bachelor's degree in Business Administration, Management, or related field.
  • Experience: At least 5–8 years of relevant executive support experience, ideally in a corporate or multinational environment.
  • Skills: Demonstrated ability to handle complex scheduling, communications, and high-stakes correspondence; proficiency in Microsoft Office Suite and other productivity tools (e.g., Zoom, SharePoint, Adobe).
  • Aptitudes: Excellent organizational, communication, and interpersonal skills; strong problem-solving abilities and decision-making skills under minimal supervision.
  • Professionalism: High level of professionalism, discretion, and confidentiality.
