Your Role:
In this Executive Assistant position, you'll play a vital role in supporting our executives, ensuring seamless coordination of meetings, travel arrangements, and communication efforts. Your strong organizational skills, excellent communication abilities, and proficiency in office software applications will enable you to excel in this dynamic and fast-paced environment.
- Create/maintain calendars, coordinate meetings, and avoid scheduling conflicts.
- Prepare meeting materials, including PowerPoint decks and agendas, and distribute them to relevant individuals on time.
- Schedule and coordinate resources and technology needed for meetings and events.
- Make travel arrangements for meeting attendees, including external customers and executives.
- Host, coordinate, and facilitate meetings and external events as needed.
- E nsure meeting participants have access to facilities and systems.
- Plan and organize logistics for large and/or offsite events using internal resources.
- Compile and integrate information for reports and documents.
- Prepare and format office documentation for various audiences.
- Review prepared documents for accuracy and quality.
- Distribute documentation onto relevant systems and communication boards.
- Maintain and distribute lists as needed.
- Record, label, and file records according to enterprise records management procedures.
- Utilize relevant software applications.
- Create and maintain an administrative desk manual for continuity of office operations.
- Assist internal partners with printed documentation and monitor office communications.
- Perform Business Segment Liaison activities, manage office supplies, and accept deliveries.
- Collaborate with facilities management regarding changes or improvements to the office environment.
