The organization seeks a skilled and detail-oriented Financial Operations Specialist to join its team. This key member of the finance team will be responsible for maintaining accurate financial records, streamlining transaction processing, and supporting automation initiatives.

The ideal candidate is highly adaptable, organized, and comfortable wearing multiple hats in a fast-paced environment. Experience in retail bookkeeping and proficiency in QuickBooks Online (QBO) and Bill.com are required.

Key Responsibilities:

  • Record and categorize daily financial transactions in QuickBooks Online (QBO) accurately.
  • Process accounts payable and receivable transactions, including invoice entry, payments, and reconciliations.
  • Maintain an organized and up-to-date general ledger.
  • Reconcile bank and credit card accounts regularly, identifying and resolving discrepancies.
  • Provide retail accounting support, including inventory tracking, cost-of-goods-sold (COGS) allocations, and POS system integration.
  • Assist with financial aspects of jewelry sales, returns, and vendor purchasing.
  • Utilize Bill.com to process and manage vendor payments efficiently and support payroll administration.
  • Assist with reporting and analysis tasks, including generating financial statements and identifying trends for cost optimization or revenue improvement.
  • Collaborate with the CFO team to support forecasting and budgeting efforts.
  • Contribute to technology and automation initiatives, including automating workflows using QuickBooks Online, Microsoft Excel, or other integrated tools.

Requirements:

  • Bachelor's degree in accounting, finance, or a related field.
  • 2+ years of hands-on bookkeeping experience in a retail or e-commerce setting.
  • Experience in or with the jewelry industry is beneficial.
  • Payroll experience is advantageous.
  • Proficiency in QuickBooks Online (QBO) and experience using Bill.com is essential.
  • Comfortable with Microsoft Excel and other accounting tools; able to learn new technology quickly.
  • Detail-oriented, organized, and able to manage multiple tasks independently.
  • Excellent communication skills, both written and verbal.
  • Self-starter with an ownership mindset and a passion for continuous improvement.
