About Our Property Assistant Role
We are seeking a highly organized and detail-oriented Property Assistant to support our team in managing a diverse portfolio of properties. This is a dynamic opportunity for an individual who can effectively multitask, prioritize responsibilities, and maintain accurate records.
- Key Responsibilities:
- Assist in property management tasks such as lease administration, rent collection, and eviction processes by providing exceptional administrative support to the property management team.
- Maintain accurate and up-to-date property records, including lease agreements, maintenance records, and tenant information using industry-leading software.
- Coordinate property inspections and maintenance work orders to ensure timely completion and satisfaction from tenants.
- Data Entry:
- Input and update property and tenant information into property management software, ensuring data accuracy and integrity.
- Process rental payments and other financial transactions in accounting systems, maintaining accurate and detailed records.
- Maintain accurate and up-to-date records in cloud-based project management tools.
- Tenant Communication:
- Respond to tenant inquiries and concerns in a timely and professional manner, ensuring high levels of customer satisfaction.
- Handle tenant move-ins and move-outs, including conducting thorough walkthroughs and processing security deposits.
- Enforce lease terms and resolve tenant issues efficiently and effectively.
- Vendor Coordination:
- Coordinate with vendors for maintenance and repair services, including scheduling appointments and approving invoices.
- Negotiate contracts and pricing with vendors, ensuring optimal value for the company.
- Oversee vendor performance and resolve any issues promptly.
Requirements:
- Strong organizational and time management skills, with ability to prioritize multiple tasks and responsibilities.
- Excellent attention to detail and accuracy, with ability to maintain high standards of quality and precision.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), with experience using industry-leading property management software a plus.
- Ability to work independently and as part of a team, with excellent written and verbal communication skills.
- Strong problem-solving and decision-making abilities, with ability to adapt to changing circumstances and priorities.
