
Administrative Support Specialist

This position is pivotal in the smooth operation of our property management operations. With a focus on supporting multiple buildings and over 2,000 residential units, the role demands strong administrative skills, effective communication, and organizational prowess.
The successful candidate will work closely with the property manager to ensure seamless interactions between residents, vendors, and internal stakeholders. This entails coordinating resident communication, vendor scheduling, and inspection management across diverse properties.
Key Responsibilities:- Engage in professional outbound calls for payment collection and fee follow-ups.
- Send bulk email notifications regarding payments and updates.
- Maintain spreadsheets tracking payment status and collection activity.
- Schedule inspections with certified service providers.
- Monitor vendor proposals and ensure certifications are up-to-date.
- Oversee ongoing projects across multiple properties, ensuring timely completion.
- Provide administrative support to the property manager as needed.
- Generate reports on completed tasks and ongoing projects.
- 2-3 years of administrative experience, preferably in real estate or customer service.
- Excellent phone and communication skills.
- Proficiency in spreadsheet software and email management tools.
- Ability to manage multiple projects with organization and attention to detail.
- Experience coordinating with vendors and managing schedules.
- Familiarity with VoIP tools like Zoom Phone, RingCentral, or Google Voice.
- Highly organized and capable of meeting deadlines independently.
