Job Summary:

We are seeking a highly skilled Administration Assistant to join our team. As an integral part of our organization, you will be responsible for providing administrative support in the financial planning sector.

About the Role

This role involves maintaining CRM data, generating reports, conducting client research, and supporting investment strategies. You will also handle various administrative tasks related to financial planning, including compiling data, drafting letters, and managing documents.

The ideal candidate is a collaborative, detail-oriented individual with strong English communication skills. They must thrive in a fast-paced environment and have a keen eye for detail.

Key Responsibilities:
  • Maintaining CRM client information and updating relevant data
  • Data entry into and from our CRM and Document Management tools
  • Creating reports from the CRM and providers portals, analyzing data, and providing insights to stakeholders
  • Researching existing clients' products, insurance options, and financial concepts
  • Collaborating with advisers to identify suitable investment strategies based on client needs and goals
  • Attending client meetings with advisors to present and review financial plans, gather necessary information, and manage client data in our database
Required Skills and Qualifications:
  • Minimum 3 years of experience as an Administration Assistant or in a similar role in the financial planning industry
  • Proficiency in financial planning software, such as AdviserLogic or XPlan, or similar tools
  • Strong numerical and logical reasoning skills, with good math abilities
  • Familiarity with Superannuation, Centrelink, and Investments in Australia
  • Able to work independently, take initiative, and demonstrate self-motivation
  • Excellent command of the English language, with strong written and verbal communication skills
  • Meticulous attention to detail, especially in calculations and materials prepared
