Operations Manager Role

We are seeking a highly skilled Operations Manager to lead our Retail Operation. This individual will play a critical role in building and scaling our retail presence.

Key Responsibilities

  • Oversee the day-to-day execution and management of the order to cash cycle, ensuring accurate and timely processing from receipt through delivery and invoicing.

  • Provide exceptional customer support for pre-order activities, including systemic setup, writing customer-specific SOPs, and ensuring orders are ready for processing.

  • Develop sustainable processes and systems from scratch, focusing on efficiency and scalability as we onboard new customers and expand our operations team.

  • Write and manage collection of order operations SOPs tailored to various sales channels and customers.

  • Ensure strong data integrity across all order operations systems, including order entry, fulfillment, management, and invoicing (QBO).

  • Lead month-end reconciliation from an Order Operations perspective, providing comprehensive reporting to Accounting showcasing accurate orders and system tie-outs.

  • Design workflows using integrations like Zapier, Make, N8N, Parabola, etc., to significantly reduce manual work and enhance team productivity.

Requirements

  • Ability to work full-time US-based hours.

  • Automations Expert - Familiar with Zapier, Make, N8N; able to identify efficient connections and streamline manual processes.

  • Excellent written and verbal communication skills in a customer-facing role.

  • Elite organizational skills and attention to detail.

  • Extremely process-oriented, able to identify issues, create scalable processes, and implement them with team members.

  • Order Processing experience, including EDI, B2B, and manual orders; strong ERP system expertise.

  • Experience managing direct reports.

  • 2+ years experience in US food & beverage order operations with distributors like UNFI & Kehe and retailers like Target.

  • Able to thrive in a fully remote work environment under minimal supervision.

  • Customer-focused with a desire to provide world-class service while prioritizing company interests.

  • Killer instinct mentality: Willing to take initiative, solve problems, and drive results even when out of comfort zone.
