Key Responsibilities
  1. Manage all aspects of construction projects, including documentation, schedules, budgets, and communication with trade partners.
  2. Assist with ordering materials, issuing purchase orders, and managing trade partner documentation.
  3. Maintain updated schedules, budgets, and project records.
  4. Capture detailed notes during daily construction stand-ups and weekly production meetings.
  5. Follow up on assigned tasks and ensure accountability across the construction team.
  6. Help prepare scopes of work and distribute them to trade partners for contract execution.
  7. Gather invoices, receipts, and assist with financial reconciliation.
  8. Create project plans and detailed schedules to ensure proper project planning and milestone completion.
  9. Develop project estimates and track expenses to identify cost-saving opportunities.
  10. Generate take-offs to calculate material and labor requirements for construction projects.
  11. Solicit bids from subcontractor trade partners and evaluate proposals.
  12. Manage contracts, W9s, and Certificates of Insurance (COIs) with trade partners.
  13. Process invoices from trade partners, verifying accuracy and ensuring timely payment.
  14. Communicate and provide direction to trade partners, implementing the construction schedule.
  15. Update and maintain the selections sheet, ensuring alignment with project specifications.
  16. Keep project specification sheets up-to-date and coordinate with architects and designers as needed.
  17. Document and manage orders, work orders, and purchase orders.
  18. Manage and coordinate punch lists and construction closeout.
  19. Manage lien release waivers to ensure compliance with legal requirements.
  20. Assist with materials procurement, including sourcing, ordering, and tracking materials for construction projects.
  21. Collaborate with suppliers and vendors to ensure timely delivery and cost-effective procurement.
  22. Identify suppliers and vendors offering bulk purchasing and other discounted materials opportunities.
  23. Assist in obtaining entitlements, permits, and necessary approvals for construction projects.
  24. Help maintain a culture of procedural excellence through metric tracking and process improvement.
  25. Proactively identify, mitigate, and track recurring construction issues.
  26. Support the Director of Construction in managing 30+ active projects.
