Property Services Coordinator Role

This behind-the-scenes position primarily focuses on email communication, property operation management, and supporting financial and administrative tasks for property managers.

Key Responsibilities:
  • Lease & Tenant Management:
  • Abstract Preparation: Review and prepare commercial lease abstracts for internal reference purposes.
  • Track and maintain Certificates of Insurance (COIs) for vendors and tenants.
  • Draft and send formal email communications to tenants.
  • Monitor annual rent increases and prepare notifications accordingly.
  • Coordinate work orders with building engineers to ensure timely completion.
  • Enter work orders into Yardi and follow up to address tenant requests professionally.
  • Oversight of new vendor and tenant setup in company systems.
  • Prepare contracts for third-party vendors.
  • Accurate invoicing coding for payables to ensure timely vendor payments.
  • Monthly accounts receivable monitoring to track rent payments and outstanding balances.
  • Support in preparing annual operating budgets.
  • Gather bids and proposals for Capital Expense projects and non-CapEx repairs.
  • Utilize Excel and SharePoint for task tracking and reporting.
  • Accurate record maintenance and research assistance as required.
Essential Skills and Qualifications:
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Excel and SharePoint.
  • Familiarity with property management software such as Yardi.
  • Able to maintain confidentiality and handle sensitive information.
  • Ability to adapt to changing priorities and deadlines.
