About our Bid Coordinator role

The Bid Coordinator supports the estimating team by managing bid documents, organizing proposal submissions, and coordinating deadlines. This role ensures that all bids are submitted accurately and on time, working closely with project managers, estimators, and clients to gather required information.

Key Responsibilities:

  • Coordinate and prepare bid packages and proposals for various construction projects.
  • Ensure timely submission of RFPs internally in compliance with requirements set out in the request for proposal documents.

Document Management:

  • Manage and organize all bid documents, including RFPs, technical specifications, drawings, and other related documents.
  • Ensure accuracy, completeness, and compliance with submission guidelines.

Team Coordination:

  • Work closely with project managers, estimators, and other team members to gather necessary information, facilitating comprehensive bids.
  • Independently manage workload calendars of assigned regions.
  • Meet workload demands and goals while tracking customer contacts and bidding same projects for estimators to send bids to.

Requirements:

  • Construction industry experience is beneficial.
  • Familiarity with mechanical drawings is advantageous.
  • Proven track record of multitasking and email organization.
  • Excellent time management, critical thinking, and organizational skills.
  • Strong Microsoft Office products knowledge (Outlook, Word, Excel).
  • High attention to detail and ability to work under pressure and demanding deadlines.
  • Positive attitude towards customers and the team every day.
  • Proven ability to manage multiple projects and prioritize effectively.
  • Self-starter, but also comfortable working in a team environment.
  • Exceptional desire to please the customer.
