
Property Operations Coordinator

We are seeking an experienced professional to provide exceptional administrative support to our Property Management Team. Our team is renowned for delivering tailored property solutions that create long-term value for clients.
The successful candidate will be responsible for providing high-quality, timely service and client retention. This role requires a strong focus on quality, organisational skills, and the ability to manage multiple tasks and meet deadlines.
The Virtual Assistant will be responsible for:
- Maintaining positive relationships with clients and escalating issues as required
- Completing special projects as directed
- Entering all maintenance requests into Property Me when reported and arranging instructions in a timely manner
- Monitoring outstanding jobs and quotes in Property Me
- Adding approved invoices to Dropbox and sending accounts to rental providers if exceeding monthly rental
- Arranging lease renewals according to instructions from rental providers and ensuring safety compliance
- Following up reminders and tasks in Property Me software
- Scheduling routine inspections for property managers
Requirements:
- 5-7 years of experience in property management support, real estate administration, or a similar role
- Proficiency with PropertyMe (or comparable property management software) and standard office tools
- Strong organisational skills with the ability to manage multiple tasks and meet deadlines
- Excellent communication skills to liaise with clients, renters, landlords, and tradespeople
- High attention to detail, particularly with compliance documents, bonds, and lease renewals
- Problem-solving mindset with the ability to escalate issues appropriately
- Team player with a proactive approach and willingness to provide backup support
