Job Title: Project Coordinator

We are seeking a highly skilled and organized individual to serve as our Remote Project Coordinator. In this role, you will provide exceptional customer service support to our clients while guiding our Service Technician Team.

  • Maintain a professional relationship with clients and staff.
  • Provide excellent customer service while establishing a positive rapport with the client.
  • Answer and address all service calls in a timely manner.
  • Contribute as a team member to mitigate problems and issues.
Responsibilities:
  • Transcribe information into required electronic format.
  • Prepare, back-up, compile, update, and sort document data files into a prescribed computer database.
  • Comply with data integrity and security policies.
  • Assist the Service Manager in resolving emergencies in a timely manner.
  • Oversee scheduling of the service team and make recommendations for department needs.
  • Provide weekly progress updates to the Service Manager and client point of contact.
  • Obtain quotes from qualified subcontractors as necessary.
  • Participate in project kick-off meetings with key participants from sales, engineering, fabrication, installation, and programming departments when needed.
  • Attend virtual CoitCom meetings on a weekly or biweekly basis.
  • Check completed work for accuracy.
  • Actively seek to improve department efficiency, reduce costs, and assist in improvement of product through customer experiences.
  • Track and provide accurate project status/milestones to the Service Manager and/or client point of contact.
  • Participate in training curriculum as needed.
  • Conduct or schedule product/system trainings for the CoitCom Service Team members.
  • Responsible for self-directed development and participate in training curriculum as needed.
  • May include after-hours and on-call duties with guaranteed response times.
  • Other duties assigned by management.
Required Skills:
  • Excellent written and verbal communication skills.
  • Must be responsible, self-motivated, self-starter, personable, and well-organized.
  • Understanding of AV system functionality and installation processes and techniques.
  • Ability to read and comprehend project technical and construction documents.
  • Proficient with Microsoft Office (Word, Excel, Outlook), Keynote, and Adobe Acrobat.
  • Self-starter capable of working independently and meeting deadlines.
  • Superior customer service skills for internal and external customers.
  • Ability to manage multiple tasks simultaneously.
  • Strong interpersonal skills for working with diverse groups.
  • Ability to demonstrate planning, organizing, and implementing skills for successful project completion by a specific due date.
  • Must be able to effectively handle stressful situations.
  • Must be able to read and interpret general business documentation.
