Job Overview

We're seeking a skilled professional to support the Vice Presidents of Sales and Business Development in transforming potential pipeline opportunities into booked stakeholder meetings. As a key member of our team, you'll have the opportunity to make a meaningful impact on our organization's success.

This is a fully remote work opportunity, offering flexibility and autonomy. You'll be responsible for managing calendars, inboxes, travel logistics, and communications for the VPs, as well as scheduling internal and external meetings across multiple time zones.

Key Responsibilities:
  • Calendar Management: Manage complex schedules, ensuring that all parties are aligned and prepared for meetings.
  • Travel Coordination: Arrange travel arrangements, including flights, hotels, and rental cars, as needed.
  • Communication Support: Provide exceptional communication support, handling phone calls, emails, and other correspondence on behalf of the VPs.
  • Administrative Tasks: Own administrative tasks, freeing up the VPs to focus on high-value relationships and strategic work.
  • C RM Maintenance: Review CRM records regularly to identify follow-ups, schedule stakeholder meetings, and support deal progression.
Required Skills and Qualifications:
  • Proven Experience: Proven experience as an Executive Assistant or similar support role in a fast-paced, collaborative environment.
  • Excellent Organizational Skills: Excellent organizational skills, attention to detail, and ability to juggle multiple priorities without missing a beat.
  • Strong Communication Skills: Strong communication skills – clear, professional, and confident when reaching out to stakeholders or navigating competing demands.
  • Technical Proficiency: Experience using CRM tools (preferably HubSpot), Google Workspace, and other digital productivity platforms.
  • Proactive Mindset: A proactive, self-starting mindset, with the ability to see what needs to be done and make it happen.
