Project Assistant Role Summary

Our client is seeking a highly organized and proactive project assistant to support their CEO. If you are a resourceful problem-solver who thrives in a fast-paced environment and enjoys contributing to both operational efficiency and creative initiatives, we encourage you to apply.

As a key member of our team, you will be responsible for providing administrative support, managing spreadsheets, and contributing to basic project management tasks. You will also have the opportunity to develop your business research and analysis skills, as well as write reports.

The ideal candidate will have excellent organizational and time management skills, with the ability to anticipate needs and prioritize effectively. They will also possess superior written and verbal communication skills, with a keen eye for detail.

Responsibilities:

  • Draft and Edit Correspondence: Draft, proofread, and edit correspondence, presentations, and other documents.
  • Visual Content Creation: Utilize Canva to design visually appealing presentations, reports, social media graphics, and other internal/external communication materials.
  • Assist in Creating Compelling Visual Content: Assist in creating compelling visual content that aligns with our brand.
  • Manage Spreadsheets and Organize Data: Create and maintain spreadsheets, organize data, and assist with basic financial tracking or expense reporting.
  • Provide Support on Various Projects: Provide support on various projects, including tracking deadlines, organizing resources, and facilitating communication among team members.
  • Prepare Agendas and Take Minutes: Prepare agendas, take detailed minutes, and follow up on action items for key meetings.
  • Coordinate Travel Itineraries: Coordinate comprehensive travel itineraries, including flights, accommodation, and ground transportation.
  • General Administrative Tasks: Assist with general administrative tasks as needed to ensure smooth office operations.

Qualifications:

  • Education: A bachelor's degree in the related field is preferred.
  • Skills: Demonstrated ability to manage spreadsheets and contribute to basic project management tasks.
  • Business Research and Analysis: Ability to do business research and analysis and write reports.
  • Software Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Canva Proficiency: Proficiency in Canva is a plus.
  • AI Familiarity: Familiarity with AI and eager to learn more of it.
  • Interpersonal Skills: High level of professionalism and interpersonal skills, with the ability to build rapport with diverse individuals.
