Virtual Assistant & Outreach Specialist Job Description

This dynamic role involves supporting lead generation, outreach initiatives, data management, and digital campaigns. As a highly organized and tech-savvy Virtual Assistant, you will be responsible for managing calendars, organizing emails and documents, and assisting with operational tasks.

The ideal candidate is confident on Zoom, personable during welcome calls, and skilled in research, data entry, and administrative support. This includes inputting and updating data in spreadsheets and CRM tools, validating datasets, and maintaining organized records.

You will also play a key role in researching qualified leads, using scraping tools to build lead databases, and organizing leads for outreach. Additionally, you will send personalized messages, schedule and conduct Zoom calls, introduce the company, and gather feedback.

Key Responsibilities:
  • Data Management: Maintain accurate and up-to-date records, ensuring seamless data flow and integrity.
  • Lead Generation & Scraping: Identify and engage with potential leads, utilizing tools and resources to optimize lead conversion rates.
  • Outreach & Welcome Calls: Develop and implement effective outreach strategies, fostering strong relationships with clients and partners.
  • Administrative Support: Provide exceptional support to our team, handling tasks such as calendar management, email organization, and document maintenance.
  • Ad Campaign Support: Collaborate with our marketing team to ensure successful campaign execution, tracking, and reporting.
  • Documentation & Reporting: Prepare detailed reports and insights, providing actionable recommendations for continuous improvement.
Requirements:
  • 4+ years of experience in virtual assistance, lead generation, or related roles.
  • Proficiency in Google Workspace, Salesforce, Excel/Google Sheets, Slack, and CRM platforms.
  • Bilingual in English and Spanish (written and verbal). Excellent communication, time management, and organizational skills.
  • Able to work independently, with minimal supervision, and prioritize tasks effectively.
  • High school diploma required; additional education a plus.
  • Professional demeanor and customer-focused attitude.

The successful candidate will possess strong communication skills, both written and verbal, and have experience working in a fast-paced environment.
