We are seeking a highly skilled Remote Project Coordinator to fill an important role within our organization.

About the Job:

  • Maintain professional relationships with clients and staff at all times.
  • Provide exceptional customer service, ensuring positive interactions with both internal and external customers.
  • Respond promptly to service calls and requests.
  • Work collaboratively as part of a team to mitigate problems and issues.
  • Convert information into required electronic formats.
  • Organize and manage document data files in a prescribed computer database.
  • Comply with data integrity and security policies.
  • Support the Service Manager in resolving emergencies efficiently.
  • Oversee scheduling of service teams and provide recommendations for departmental needs.
  • Supply weekly progress updates to the Service Manager and client point of contact.
  • Obtain quotes from qualified subcontractors when necessary.
  • Participate in project kick-off meetings involving key stakeholders from sales, engineering, fabrication, installation, and programming departments.
  • Attend regular internal virtual CoitCom meetings.
  • Verify completed work for accuracy.
  • Pursue opportunities to enhance department efficiency, reduce costs, and improve product quality through customer feedback.
  • Track and report accurate project status / milestones to the Service Manager and client point of contact.
  • Participate in training programs as needed.
  • Conduct or schedule product / system trainings for CoitCom Service Team members.
  • Determine self-directed development needs and participate in prescribed training curriculum.
  • May involve after hours and on-call duties with guaranteed response times.
  • Other tasks as assigned by management.

Required Skills and Qualifications:

  • Excellent written and verbal communication skills.
  • Must be responsible, self-motivated, self-starter, personable, and well-organized.
  • Understand AV system functionality and installation processes and techniques.
  • Able to read and comprehend project technical and construction documents.
  • Proficient in Microsoft Office (Word, Excel, Outlook), Keynote, and Adobe Acrobat.
  • Capable of working independently and meeting deadlines.
  • Superior customer service skills to interact with diverse groups.
  • Ability to manage multiple tasks simultaneously.
  • Strong interpersonal skills: able to work effectively with various groups.
  • Able to demonstrate planning, organizing, and implementing skills to ensure successful project completion by specified due dates.
  • Able to handle stressful situations effectively.
  • Able to interpret general business documentation accurately.
