The Opportunity

We are seeking an experienced Project Coordinator to join our PMO team. As a key member of the team, you will be responsible for providing administrative support to the PMO Manager and assisting in the delivery of projects.

Key Responsibilities

  • Support the PMO Manager with reporting and administrative tasks;
  • Deliver project support to the PMO team, ensuring timely and budget-friendly completion of desired outcomes;
  • Collaborate with involved partners and/or 3rd party providers to facilitate project delivery when required;
  • Maintain effective communication with project stakeholders to meet their expectations;
  • Provide administrative support by taking meeting minutes, creating basic documents and templates, and handling ad-hoc duties;
  • Assist the team in producing and maintaining project plans, project logs, risks, and other documentation as needed;
  • Support the production of project reports for internal and external customers;
  • Facilitate successful hand-over of project deliverables to support teams;
  • Support/Facilitate internal and external hand over meetings to ensure effective support is provided;
  • Identify and support any risks associated with key processes and methodology, escalating where necessary;
  • Ensure that project decisions, changes, exceptions, issues, and risks are recorded, actioned, and escalated where required;
  • Act as the primary CBS representative to the customer for project-related meetings, where required/ requested;
  • Responsible for project documentation standards and compliance, where applicable;
  • Plan, manage, and execute project tasks to ensure delivery of exceptional services;
  • Maintain systems for recording ongoing project tasks and deliverables;
  • Compile project reports and maintain required dashboards for the team;
  • Coordinate and produce reports to support the team, ensuring milestones are met;
  • Perform administration tasks as required through a defined Project Management tool, where applicable;
  • Maintain the project library, filing, recording, and reporting systems on behalf of the project management team, where required;
  • Ensure accurate project delivery forecasting and billing of projects;
  • Maintain project data and the health of data within the Project Management tool, SharePoint, Therefore, SFDC, etc.
