At CEBU GENERAL SERVICES INC.-NCR, we are seeking a highly skilled and organized Customer Service Coordinator to join our team. In this role, you will be the first point of contact for visitors and clients, providing a welcoming and professional atmosphere.

About the Job

The primary responsibilities of this position include greeting and welcoming visitors warmly as they arrive, providing directions and information about the organization or facility, answering and routing calls in a courteous and efficient manner, managing appointments, meetings, and conferences, handling administrative tasks such as filing, data entry, and managing office supplies, maintaining the front desk area clean and organized, assisting with visitor check-in and check-out procedures, and providing information about the organization's services, policies, and procedures to visitors and clients.

Key Responsibilities:
  • Greet and Welcome Visitors: Provide a warm welcome to guests and clients, offering directions and information about the organization or facility.
  • Answer and Route Calls: Handle incoming phone calls in a courteous and efficient manner, routing calls to appropriate staff members or departments and taking messages to ensure prompt delivery.
  • Manage Appointments: Schedule and coordinate appointments, meetings, and conferences, maintaining and updating appointment calendars to prevent scheduling conflicts.
  • Handle Administrative Tasks: Perform general office duties such as filing, data entry, and managing office supplies, preparing and distributing correspondence, reports, and documents as needed.
  • Maintain Front Desk Area: Keep the front desk area clean and organized, ensuring reception materials such as brochures and business cards are well-stocked and up-to-date.
  • Assist with Visitor Check-In: Manage visitor check-in and check-out procedures, issuing visitor badges or passes and ensuring security protocols are followed.
  • Provide Information: Offer information about the organization's services, policies, and procedures to visitors and clients, addressing inquiries and providing assistance as needed.
  • Support Team Members: Provide administrative support to other staff members and departments as required, assisting with special projects or tasks as directed by management.
Requirements:

To be successful in this role, you will require excellent communication and interpersonal skills, strong organizational and multitasking abilities, proficiency in Microsoft Office Suite and other office software, and a professional appearance and demeanor in accordance with the organization's dress code.

A background in customer service or a related field is preferred, and familiarity with office equipment and procedures is beneficial. You must be able to sit for extended periods, use a computer and phone, and perform light lifting, such as office supplies.
