Procurement Specialist

Job Summary:

We are seeking a highly organized and analytical Procurement Specialist to support our inventory planning and procurement initiatives.

This role involves managing day-to-day procurement operations, including purchasing, vendor relationships, order tracking, contract management, payment processing, and generating reports for cross-functional teams.

Key Responsibilities:
  • Place purchase orders in a timely and accurate manner.
  • Negotiate PO terms with vendors to secure acceptable agreements.
  • Monitor vendors' compliance with agreed ship dates.
  • Track all orders and shipments to ensure correct and on-time delivery of goods.
  • Collaborate closely with the Operations team and external partners to execute inventory plans efficiently.
Data Management and Analysis:
  • Create, manage, and audit large data sets in support of various planning and procurement functions.
  • Support the Planning team in executing demand forecasting and supply planning initiatives.
  • Partner with merchant teams in planning for new product introductions.
  • Work with the Operations team in shipment scheduling and warehouse allocation.
  • Facilitate data transfer and implementation between systems, databases, and spreadsheets.
Vendor and Contract Management:
  • Develop effective communication strategies and maintain positive business relationships with vendors.
  • Monitor the purchasing mailbox and serve as the primary point of contact for vendors on PO-related concerns.
  • Assist the merchandising team with vendor onboarding and integration.
  • Maintain and keep records of vendor contracts and insurance certificates.
Accounts Payable Management:
  • Submit PO, commission, and/or sample payments for approval.
  • Verify that vendors and agents are paid accurately and on time.
  • Reconcile and maintain records of payments and chargebacks.
  • Coordinate vendor requests for new or changed bank account information with the accounting team.
Requirements:
  • Bachelor's degree in Business Administration, Supply Chain Management, Economics, or a related field with a quantitative background.
  • At least one year of relevant experience in procurement involving purchase orders, with a focus on analyzing data sets in support of various inventory planning and procurement initiatives.
  • Ability to collaborate effectively with other teams on complex cross-functional projects that impact business outcomes.
