Job Title: Financial Operations Specialist

Job Summary

We are seeking a highly organized and detail-oriented professional to manage financial records, reconcile accounts, and support property management operations. This role is ideal for someone with a strong background in real estate accounting and a proactive approach to financial accuracy and compliance.

Key Responsibilities
  • Maintain accurate financial records for multiple properties using advanced software tools.
  • Process accounts payable and receivable, including vendor bills and tenant payments, ensuring timely and efficient transaction processing.
  • Reconcile bank accounts, trust accounts, and credit card statements monthly, identifying and resolving any discrepancies or issues.
  • Prepare owner statements, financial reports, and draw schedules, providing stakeholders with accurate and reliable information.
  • Monitor and manage tenant ledgers, security deposits, and lease-related transactions, maintaining up-to-date records and ensuring compliance with regulatory requirements.
  • Ensure compliance with GAAP and real estate-specific accounting standards, maintaining the highest level of financial integrity and accuracy.
  • Collaborate with property managers to resolve discrepancies and support audits, working together to achieve business objectives.
  • Assist in budgeting, forecasting, and year-end financial preparations, providing valuable insights and recommendations to inform business decisions.
  • Handle tax documentation, 1099s, and other regulatory filings as needed, ensuring compliance with relevant laws and regulations.
QualificationsEducation & Certification
  • Bachelor's degree in Accounting, Finance, or related field (preferred).
  • CPA or Bookkeeping Certification (a plus).
Experience
  • Minimum 3 years of bookkeeping experience, preferably in real estate.
  • Proven expertise in advanced software tools, such as AppFolio.
  • Experience managing financials for multiple properties or portfolios.
Skills & Tools
  • Advanced proficiency in AppFolio, QuickBooks, and Excel.
  • Strong understanding of real estate accounting principles.
  • Excellent attention to detail and organizational skills.
  • Ability to work independently and meet deadlines.
  • Strong communication skills for cross-functional collaboration.
Preferred Traits
  • Familiarity with U.S. property management practices.
  • Experience with trust account reconciliation and owner draw processes.
  • Comfortable working in a remote, fast-paced environment.
