Medical Virtual Assistant Job Summary

This Medical Virtual Assistant role is a critical position that ensures seamless patient intake experiences in the healthcare industry. As a key member of our team, you will be responsible for collecting and verifying patient demographic and insurance information, scheduling appointments with healthcare providers, managing medical records, and maintaining HIPAA compliance.

Key Responsibilities:
  • Collect and Verify Patient Information: Ensure accurate collection and verification of patient demographics and insurance details to guarantee seamless care delivery.
  • Appointment Scheduling: Coordinate and schedule patient appointments with healthcare providers to minimize wait times and optimize care delivery.
  • Medical Record Handling: Enter and manage patient data accurately within electronic health record (EHR) systems, maintaining confidentiality and adherence to healthcare regulations.
  • Insurance Verification: Assist patients in verifying their insurance coverage and eligibility for medical procedures, reducing administrative burdens.
  • Patient Communication: Respond to patient inquiries with professionalism, empathy, and attention to detail, providing timely support throughout the care journey.
  • Pre-Appointment Preparation: Gather necessary medical history and documentation before consultations to ensure seamless care transitions.
  • Coordination with Healthcare Providers: Facilitate effective communication between patients, providers, and insurance representatives, streamlining care coordination.
  • HIPAA Compliance: Maintain confidentiality and adhere to strict healthcare privacy regulations, safeguarding sensitive patient information.
Qualifications & Skills:
  • Proven experience in medical administrative support or patient intake coordination.
  • Familiarity with EHR systems such as Epic, Cerner, or eClinicalWorks.
  • In-depth knowledge of medical terminology and insurance processes.
  • Superior organizational, multitasking, and time management skills to handle multiple priorities simultaneously.
  • Excellent verbal and written communication skills to effectively interact with patients, providers, and internal teams.
  • Able to maintain discretion and professionalism when handling sensitive patient information.
  • Proficient in Microsoft Office Suite, Google Workspace, and healthcare scheduling software.
  • Background in medical billing and insurance verification is an asset.
  • Previous experience in a remote healthcare support role is preferred.
