Medical Document Retrieval Specialist Role Overview

The Medical Document Retrieval Specialist plays a pivotal role in the healthcare medical records retrieval process. This position ensures all requests are complete, accurate, and prepared for downstream processing.

Main Responsibilities:
  • Provider Research & Identification: Determine relevant healthcare providers associated with a client's treatment, locate billing providers, and input identified providers into an administrative application.
  • Request Creation & Quality Control: Review and correct incoming Release of Information (ROI) forms, create accurate base forms, and conduct thorough quality assurance checks for each ROI packet.
  • Request Assignment: Assign requests to appropriate team members based on workload and utilization metrics.
  • Handling Special Cases: Identify and escalate provider-specific requirements, resolve missing or conflicting information by liaising directly with a case manager.
Requirements:
  • Experience: Prior experience requesting health records from providers on behalf of healthcare companies or law firms is essential.
  • Attention to Detail: High accuracy is required, as errors can cause significant delays in retrieval.
  • Technical Skills: Proficiency in Adobe Acrobat and PDF editing/combining tools is necessary.
  • Communication: Strong verbal and written communication skills with a proactive problem-solving mindset are essential.
