About the Role

The Operations Support Specialist will provide critical support to the sales team in Manila, ensuring seamless operations and exceptional customer service.

Key Responsibilities
  1. Quote Generation: Generate accurate and competitive quotations for field sales representatives to present to clients within agreed-upon turnaround times.
  2. Quote Verification: Ensure that all quotations are clear, complete, and align with company pricing policies.
  3. Sales Support:
    1. Inquiry Follow-up: Track all inquiries from field sales representatives and follow up on pending quotations.
    2. Sales Enablement: Ensure that inquiries are converted into actual sales, providing support as needed.
    3. Customer Engagement: Assist field sales representatives by addressing client requests, providing clarifications, and handling negotiations regarding quotations and order processing.
  4. Document Management:
    1. Record Maintenance: Maintain organized records of quotations, sales transactions, and any related documentation for easy reference by field sales representatives.
    2. File Organization: Ensure proper filing and easy access to sales records.
  5. Credit and Payment Services:
    1. Payment Oversight: Work closely with the credit and collection team to monitor payment terms, credit applications, and collections.
    2. Client Communication: Ensure that field sales reps are updated on the payment status and client credit conditions.
  6. Market Intelligence:
    1. Pricing Insights: Regularly ask for updates from field sales representatives on market prices and competitor activities.
    2. Pricing Strategies: Provide insights and recommendations on pricing strategies to improve sales outcomes.
  7. Supply Chain Coordination:
    1. Product Sourcing: Collaborate with the purchasing department to ensure timely availability of products.
    2. Order Fulfillment: Coordinate with logistics to prevent delays in order fulfillment and ensure a smooth supply chain process.
    3. Inventory Control: Work with warehouse team to track inventory levels, coordinate stock availability, and manage shipments to meet customer delivery requirements.
    4. Order Management: Ensure effective coordination between logistics, warehouse teams, and field sales representatives to avoid order delays.
    5. Order Accuracy: Work closely with logistics to ensure accurate and timely order fulfillment, including monitoring transportation schedules and resolving any shipment-related issues.
    6. Customer Delight: Track the status of orders, ensuring timely and accurate delivery in alignment with customer expectations.
    7. Performance Metrics: Provide reports on inquiry conversions, sales support efficiency, and overall sales performance to field sales representatives.
    8. Process Optimization: Track sales data to identify trends and areas for improvement in sales processes.
