Job Summary

  1. Serves as a key support person for the executive, handling various administrative tasks and ensuring seamless communication.
  2. Manages the executive's calendar, scheduling appointments, meetings, and travel arrangements, while prioritizing tasks and minimizing disruptions.
  3. Responds to routine inquiries, directs complex matters to the executive, and maintains confidentiality.
  4. Prepares meeting agendas, gathers necessary materials, and takes detailed notes during meetings, supporting effective decision-making.
  5. Drafts and proofreads correspondence, presentations, and other documents, ensuring accuracy and professionalism.
  6. Coordinates travel logistics, including booking flights, hotels, and ground transportation, streamlining business operations.
  7. Maintains organized filing systems, receipts for the executive and team, promoting efficiency and transparency.
  8. Anticipates the executive's needs, proactively providing solutions to enhance productivity and job satisfaction.
  9. Provides administrative support and personal assistance as needed, adapting to changing circumstances and priorities.

The Skills Required

  1. Possesses relevant experience as an Executive Assistant or related role, with a proven track record of delivering high-quality results.
  2. Demonstrates strong organizational skills, prioritizing multiple tasks simultaneously and managing competing demands.
  3. Exhibits excellent communication and interpersonal skills, building rapport with people at all levels and fostering collaborative environments.
  4. Shows attention to detail and a proactive approach, identifying opportunities for improvement and implementing changes.
  5. Is proficient in Google Suite and other scheduling tools, leveraging technology to streamline processes and enhance productivity.
  6. Maintains confidentiality and discretion, upholding the trust and integrity of the executive and the organization.
