Job Title: Virtual Accounting Specialist

We are seeking a highly skilled and detail-oriented Virtual Accounting Specialist to manage daily financial tasks, handle customer billing inquiries, and maintain accurate financial records while providing excellent customer service support.

The ideal candidate will have strong proficiency in QuickBooks Online, excellent English communication skills (written and verbal), and a high attention to detail and accuracy. The ability to work independently and manage multiple deadlines is essential for this role.

Key Responsibilities:
  • Financial Operations & Accounting:
    • Process and reconcile payments through Stripe and proprietary system.
    • Manage accounts receivable, including following up on past due payments.
    • Reconcile bank statements and credit cards in QuickBooks Online.
    • Process and record bills in QuickBooks.
    • Generate and analyze financial reports, including P&L and Balance Sheets.
    • Handle payment-related customer service tickets.
    • Process refunds and manage billing disputes.
    • Monitor and update memorized transactions.
    • Process payroll.
  • Customer Service & Administrative Tasks:
    • Respond to customer billing inquiries through Freshdesk.
    • Process scheduling and change requests.
    • Handle referral programs and commission tracking.
    • Generate and send customer invoices.
  • Audit & Compliance:
    • Conduct regular billing audits.
    • Review and verify wage reports.
    • Monitor branch metrics and subject metrics.
    • Maintain accurate pricing plans.
    • Track and process sales commissions.
    Requirements:
    • Bachelor's degree in Accounting, Finance, or related field.
    • Minimum 2 years of bookkeeping or accounting experience.
    • Strong proficiency in QuickBooks Online.
    • Excellent English communication skills (written and verbal).
    • Strong customer service orientation.
    • High attention to detail and accuracy.
    • Ability to work independently and manage multiple deadlines.
