Qualifications

• Accounting and Bookkeeping Expertise – Background as an Accounting Specialist, Bookkeeper, A/R or A/P Specialist.
• Tech-Savvy – Proficient with accounting platforms and Excel/Google Sheets; NetSuite experience is a plus.
• Detail-Oriented – High accuracy and precision.
• Strong Communicator – Clear, professional collaboration across teams.

Responsibilities

Your responsibilities include:

• Accounts Payable
  • Vendor Setup & Compliance – Set up new vendors; collect W-9 forms; reconcile vendor statements; protect confidential information.
  • Invoice Processing – Review invoices, perform 3-way matching, ensure proper GL coding, enter invoices, resolve discrepancies, apply credits.
  • Payments & Scheduling – Maintain payment schedule; track and manage billings and payments for accuracy and timeliness.
  • Communication & Support – Collaborate with internal teams; note: direct vendor communication handled by Finance Manager.
  • Accounts Receivable
    • Payment Application & Deductions – Apply payments to invoices; verify deductions and credits; retrieve remittance advice.
    • Reconciliation & Record-Keeping – Regular AR reconciliations; maintain AR records; resolve discrepancies; reconcile online sales and bank deposits.
    • Monitoring & Reporting – Review AR aging; monitor unapplied payments; prepare customer statements as needed.
