Job Title: Benefits Coordinator

We are seeking a highly skilled and experienced Benefits Coordinator to join our team. The ideal candidate will have a strong understanding of employee benefits administration, including health and welfare plans.

Responsibilities:

  • Manage daily administration of U.S. employee benefits, including medical, dental, vision, pharmacy, COBRA, FSAs, HSAs, life insurance, disability coverage, and voluntary plans.
  • Handle employee leaves, including FMLA, ADA, and state-specific leave policies.
  • Provide employees with support and education on benefits eligibility and plan options.
  • Coordinate with benefits providers to address enrollment, eligibility, and data-related concerns.
  • Facilitate benefits onboarding sessions for new hires.
  • Review and reconcile payroll deduction and enrollment reports; follow up with employees to resolve missed enrollments or premium changes.
  • Audit and process benefits invoices, ensuring accurate billing and timely payment.
  • Support annual benefits audits, regulatory filings, and compliance-related reporting, including ACA and nondiscrimination testing.
  • Assist with annual open enrollment processes for U.S. employees.
  • Collaborate with benefits brokers to prepare communication materials such as enrollment guides, newsletters, and intranet content.
  • Contribute to the internal management and improvement of the Benefits Program.
  • Develop and update Standard Operating Procedures (SOPs) for benefits processes.
  • Escalate urgent or complex issues to the Senior Manager, Total Rewards.
  • Ensure compliance with SLAs, internal policies, and applicable regulatory and professional standards.

Qualifications:

  • Bachelor's degree in a related field.
  • Minimum of 2 years of experience in U.S. benefits administration (as an assistant, coordinator, specialist, or similar role).
  • With experience working in a US-based or global/international company, preferably within the shared services or BPO industry.
  • Ability to maintain confidentiality and manage sensitive employee data.
  • Strong written and verbal communication skills.
  • Capable of managing multiple competing tasks in a high-paced work environment.
  • Keen attention to detail, solid critical thinking, and effective problem-solving skills.
  • Proficiency in Microsoft Office, especially Excel (including PivotTables and VLOOKUP functions).
  • Familiarity with U.S. federal and state benefits regulations, including ACA, ERISA, COBRA, HIPAA, and Section 125.
