Administrative Assistant Job Opportunity

We are seeking a highly organized and detail-oriented professional to work from home in a dynamic environment.

The successful candidate will handle a variety of tasks, including mail processing, vendor order management, production schedule tracking, and record maintenance.

Key responsibilities include:

  • Processing, sorting, and routing incoming and outgoing mail.
  • Providing exceptional customer service and demonstrating strong interpersonal skills.
  • Sorting and distributing vendor invoices as necessary.
  • Ordering inventory; receiving and forwarding documentation to the ASB team for receipt completion.
  • Verifying order receipt with vendors to meet client delivery timelines.
  • Tracking orders from production schedules to delivery dates using a workflow management system.
  • Managing backorders, including identification and replacement with comparable products.
  • Reducing accounts receivable aging through proactive measures.
  • Assisting clients with administrative duties.
  • Creating and updating accurate records.
  • Entering information into databases.

Requirements include:

  • Bachelor's degree in Marketing, Business Administration, or a related field.
  • 3-5 years of experience in Customer Service, Data Entry, Administrative Assistance, or similar roles.
  • Excellent English communication skills.
  • Ability to work EST hours (graveyard shift in PH time).
  • Strong understanding of office management systems and procedures.
  • Proficiency in Microsoft Office Suite and Google Suite.
  • Familiarity with tools such as Wild Apricot, JotForm, Canva, SharePoint, and Slack.
