
Property Management Support Specialist

Job Summary:
We are a Melbourne-based property firm that specializes in buyer's advocacy, property management, renovation consulting, and project leasing.
Our focus is on achieving low vacancy rates, long tenancy durations, and faster leasing outcomes with a client-focused approach.
Role:
This role involves providing quality, timely service and maximizing client retention as an Administrative Assistant to the Property Management Team.
Your key responsibilities will include:
- Maintaining positive relationships with clients and escalating issues as required
- Supporting the team with special projects
- Entering maintenance requests into our system and arranging timely instructions
- Monitoring outstanding jobs and quotes using our software
- Processing approved invoices and sending accounts to rental providers if necessary
- Aarranging lease renewals according to instructions from rental providers and ensuring safety compliance
- Following up reminders and tasks in our software
- Scheduling routine inspections for property managers
- Attending company meetings and following procedures
- Responding to emails and providing backup support to staff when needed
You will report directly to the Head of Property Management.
Requirements:
- At least 5 years of experience in property management support or a similar role
- Proficiency with PropertyMe or comparable software and standard office tools
- Strong organizational skills and ability to manage multiple tasks and meet deadlines
- Excellent communication skills to liaise with clients, landlords, and tradespeople
- Attention to detail, particularly with compliance documents and lease renewals
- A problem-solving mindset with the ability to escalate issues appropriately
