Virtual Assistant - Marketing Automation Specialist

This is a remote opportunity to work as a technical specialist / virtual assistant, handling client-facing tasks in a fast-paced environment. You will be working with clients who are innovators and entrepreneurs, assisting them in implementing and managing their technical and administrative workflows.

Key Responsibilities:
  • Technical Support: Handle technical inquiries, manage member accounts, create automations, and design landing pages.
  • Campaign Management: Set up, launch, and monitor cold email campaigns using Instantly.ai.
  • Automation Expertise: Build and maintain automation workflows using n8n.io and other tools.
  • Lead Generation: Generate targeted lead lists using Apollo.io based on the client's Ideal Customer Profile (ICP).
  • Troubleshooting: Troubleshoot deliverability issues, API errors, and automation bugs.
  • Integration and Documentation: Sync leads and actions across platforms like Instantly, Apollo, n8n, and the client's CRM (e.g., HubSpot or HighLevel). Keep systems organized and documented in Notion or SOPs.
  • Project Management: Ensure campaigns and workflows are launched on time and run smoothly.
Requirements:
  • Experience: 2+ years of experience in a technical VA or marketing automation role.
  • Skills: Proficiency in Go High Level, n8n, Instantly.ai, Apollo.io, Zapier, and Make.com. Experience with CRM platforms such as HubSpot or HighLevel.
  • Background: Background in outbound sales, B2B environments, and managing cold email campaigns.
  • Certifications: Strong understanding of marketing automations and workflow optimization.
  • Soft Skills: Problem-solving mindset with a knack for debugging tools and streamlining processes. Highly organized, self-directed, and able to take initiative without constant oversight. Excellent communication skills to clearly explain tech setups and maintain process documentation.
